Streamlining workflows and achieving cost savings for Maramarua school

Based in the Waikato, Maramarua school is a small rural primary school with approximately 110 students. The school has a well-equipped technology centre which is a shared resource with surrounding schools.

The Maramarua school roll has grown significantly over the past 2 years. The southward growth of Auckland combined with the increasingly positive reputation of the school indicates continued growth into the future.

The need

Maramarua school is well governed by a united and supportive board of trustees who represent their diverse community. The Principal, Andre Van Skalkwyk, ensures they are future-focused and that all decisions are in line with the schools’ vision of Kia kaha, kia ū, kia angitu - be strong, resilient, and successful.

With the growth the school has seen in recent years, a key focus was to cut down on paper wastage, enable efficiencies for teachers and maximise the school budget to ensure they could continue to provide the best learning environment for their tamariki.

The solution

Maramarua school has been a Canon customer for many years. The school procured their print technology through the All of Government (AoG) framework, which includes a raft of benefits for state-funded schools.

Some of these benefits include a pre-set procurement agreement that is negotiated on the schools behalf by the New Zealand government, thus negating the need to seek additional legal advice; competitive market rates as well as KPI and service level agreements that are monitored for compliance quarterly.

When it came to managing their print environment, the Canon team suggested uniFLOW Online, a public cloud based print and scan management solution. Renowned for innovation and security, uniFLOW Online is trusted by thousands of organisations worldwide. It has also been recognised by Keypoint Intelligence, the industry’s leading independent research authority, as the most outstanding cloud output management solution in it’s category.

“The customer support has been a standout for us, especially with being a small rural school we don’t have a dedicated it person coming in on a weekly basis.”

Easy document distribution

Being a cloud-based solution, uniFLOW Online makes it easy for teachers and staff to scan or print directly from Google Drive. This reduces the amount of storage required, and the risk of duplicating documents.

“It definitely cuts down on the amount of unnecessary printing, or printing mistakes. It also streamlines our workflow in the office when needing to scan documents to emails.”

Increasing security, controlling costs, and paper waste

Staff have to be physically standing at a printer in order to release any print jobs. This prevents unauthorised use of the print devices and ensures students confidential records are kept secure. Teachers authenticate themselves at the printer using a swipe card or unique password to login. This also minimises the amount of wasted paper by only printing what we need.

“We’ve reduced roughly 20% of our monthly print budget by implementing uniflow online.”

Tracking cost savings and visibility on print usage

The positive environmental impact for the school is highlighted in reports which also monitor usage and cost savings. Uniflow online can illustrate how many trees or how many grams of CO2 have been saved by decreasing the amount of printing.

Thanks to its comprehensive feature portfolio and its integration with popular cloud-based platforms, uniFLOW Online has enabled Maramarua school to monitor and secure their print activity, track and reduce costs and optimise workflows.
